Clients

A client in Bookings is a customer in Upscale ERP. One record, so their visit history and their account statement never disagree.

The client list

Search by name, phone or email. Opening a client shows their visits, their contact details, and a summary of how often they come and what they have booked.

A class they attended shows what happened to their place, not what happened to the class. If they missed a session that otherwise ran fine, their row says so.

Merging duplicates

You will get duplicates. Someone books online with a second phone number, or the front desk types a name slightly differently.

Open one and merge. The dialog is explicit about which record survives and which disappears, and says it cannot be undone before you confirm. The survivor keeps both visit histories, both sets of invoices, and the tags and notes from each.

Afterwards their statement in ERP still ties, because the invoices moved with them rather than being rewritten.

Two things are refused: merging clients who use different currencies, and merging away your walk in customer.

The client portal

Clients can sign in to a portal of their own at bookings.upscaleerp.com/your-salon. They receive a code by email rather than setting a password.

They can see upcoming visits, reschedule or cancel within the window you allow, look at past visits, and update their own name, phone and contact preferences. Their email address is shown but not editable, because it is what identifies them.

Where a visit is inside your cancellation window, the portal does not show a dead button. It explains why, in a sentence, such as changes being possible up to 24 hours before.

If someone types an email that belongs to nobody, the portal still says a code was sent. That is on purpose. It means nobody can use the page to work out who is a client of yours.
