The Members page is where you manage everyone who can access your organization. It brings accepted members and pending invitations together into one list so you always see the full picture.

The Members list

Open Members from the sidebar. Each row shows a person's name and email, their access (which products and roles they have), the number of active devices, and their status:

  • Active: an accepted member with access.
  • Suspended: temporarily blocked from signing in.
  • Pending: an invitation that hasn't been accepted yet.
  • Expired: an invitation whose link is no longer valid.
  • No access: a member with no product access granted.

Use the quick filters above the list (All, Has ERP, Has Billing, No product access, Pending) to narrow it down. The owner is shown with an "Owner" tag and has full access to every product.

Inviting a member

  1. On the Members page, choose Invite member.
  2. Enter the person's email address and, optionally, their name.
  3. Under Product access, switch on each product you want to grant (ERP, Billing) and choose the role for that product. You must pick a role for each product you enable.
  4. For ERP, you can also set location access: choose the member's branches and a default branch, and optionally stock locations and source locations (see the note below).
  5. Choose Send invitation.

The person receives an email invitation to join your organization. You must grant access to at least one product for the invitation to be sent.

Note

ERP access is location-scoped. Branches are where the member can create transactions (invoices, bills, payments). Stock locations are where they can adjust and transfer stock out, and source locations are where they can pull stock from and receive transfers into. Leave stock locations empty to fall back to the member's branches.

Managing pending invitations

Pending and expired invitations appear in the same list as members. Open the row's menu (the ⋮ action) to:

  • Resend invite: send the invitation email again.
  • Cancel invite: withdraw the invitation so the link can no longer be used.

How invitation acceptance works

When someone opens their invitation link:

  1. If they're not signed in, they're offered Sign in (if they already have an Upscale account) or Create account. Both carry the invitation through to completion.
  2. Once signed in, the invitation is accepted automatically and they're taken into the organization.
  3. If the link has expired or already been used, they're told the invite can't be used.
  4. If they're signed in with a different email than the one invited, they're prompted to switch to the correct account.

There's nothing extra you need to do. Once they accept, they appear as an Active member.

Editing a member's access

Click a member's row (or choose Edit access from the row menu) to open their access panel, where you can:

  • Add or remove product access and change the role for each product.
  • Adjust ERP location settings.
  • Save your changes.

The owner's access can't be edited here; the owner always has full access to every product.

Suspending and reactivating a member

To temporarily block someone without removing them:

  • From the member's row menu, choose Suspend member. Their access is paused but their product access is preserved.
  • To restore access, choose Reactivate member.

Viewing a member's devices

Each member row shows how many devices they're currently signed in on. To inspect them:

  1. Choose View sessions from the row menu (or click the devices count).
  2. The Active devices panel lists each session: device, IP address, sign-in method, and when it was last active.
  3. To force the member to sign out everywhere, choose Sign out all devices and confirm.

This is a read-only security report; tokens are never exposed.

Removing a member

To remove someone from the organization entirely:

  1. From the member's row menu, choose Remove from organization.
  2. Confirm. They lose access to all of the organization's products.

The owner can't be removed; transfer ownership first if needed (see Organizations).
